Description

AMSG is seeking a Records Administrative Assistant to support the Department of Energy’s Naval Reactors Laboratory Field Office (NRLFO) Mission Support Division. In this role, the Candidate will ensure proper handling, scanning, and electronic filing of legal documents.  This is a Contingent Hire position.

 

AMSG delivers exceptional program and performance management services across multiple federal agencies, including the Department of Defense (DoD), (including Marine Corps, Army, and Air Force), Department of Veterans Affairs (VA), Defense Health Agency (DHA), Department of Homeland Security (DHS), Washington Headquarters Service (WHS) and the Federal Trade Commission (FTC).

Education: High school diploma or equivalent; Associate degree preferred.

Years of Experience: Minimum of two years’ relevant experience in administrative support.

Work Location: Bettis Atomic Power Laboratory West Mifflin, PA

Clearance Requirement: DOE Level “L” clearance required

Start Date: 28 September 2026

 

Responsibilities:

  • Scan documents using approved hardware and software.
  • Place scanned documents into dedicated folders following established protocols.
  • Maintain a log of scanned and filed documents for audit and tracking purposes.
  • Ensure compliance with federal records management standards and site-specific requirements.
  • Build, maintain, and regularly update documents tracking the progress of records management tasks and projects.
  • Interface and communicate with Mission Support Division staff to ensure tasks and priorities are understood and completed effectively.
  • Actively work to complete tasks and projects by established completion dates; inform management when dates cannot be met and provide reasons.
  • Assist in efforts to streamline records management processes, utilizing common systems wherever possible.
  • Make recommendations and provide input to improve efficiency and effectiveness in records management.

 

Required Experience:

  • Proficiency in document scanning hardware and software.
  • Familiarity with electronic filing systems.
  • Strong attention to detail and organizational skills.
  • Ability to maintain confidentiality and handle sensitive documents.
  • Professional appearance and courteous manner.
  • Ability to work on tight deadlines.
  • Clear and concise verbal and written communication skills.

 

Preferred Experience:

  • Experience with federal records management policies and procedures.
  • Strong customer service and teamwork skills.
  • Experience in proactively resolving issues and improving processes.
  • Experience facilitating interdepartmental communications.
  • Knowledge of file management, transcription, and administrative procedures.
  • Experience implementing new policies and processes.
